Terms of Service

The deal for using Warden: book and run real meetings, keep your data yours, and don't abuse the booking page — or the people behind it.

Last updated: July 24, 2026

In plain terms

Booking a meeting is free and needs no account. Use Warden for genuine scheduling and it just works.

  • You keep ownership of everything you submit; you give us only the licence needed to book and run your meetings.
  • Off-limits: fake or spam bookings, scraping availability, dodging booking limits, and abusing the chat or AI intake.
  • We can refuse or cancel abusive bookings and apply rate limits and other countermeasures to protect availability.
  • The "Powered by Warden" badge stays on your booking page unless your plan includes white-labelling.
  • The Service is provided "as is", and our liability is limited — the details are below.

1. Who we are & accepting these terms

Warden is a scheduling and booking service operated by Aashapura, LLC ("Warden", "we", "us"). These Terms of Service govern your use of the Warden website, booking pages, and related features (the "Service"). By booking a meeting, connecting a calendar, or otherwise using the Service, you agree to these Terms. If you use Warden on behalf of an organisation, you accept these Terms for that organisation.

If you don't agree with these Terms, please don't use the Service.

2. What Warden is & your account

Warden lets you publish a booking page, share your real availability, and let guests pick a time. When a booking is made, Warden checks availability to prevent double-booking, creates the calendar event, adds a video meeting link where one is available, and emails a confirmation with a calendar invite to both sides. Depending on your plan it can also send reminders, ask tailored intake questions, and route the booking to the right host.

Booking a meeting as a guest requires no account. Managing your own availability, connecting a calendar, or running a team may require you to sign in and, for paid plans, an active subscription (see the Payment & Refund Policy). We may add, change, or retire features as the Service evolves.

3. Acceptable use

Warden's booking page is open to the public, which makes it a target for abuse. To keep it working for everyone, you agree not to:

  • Flood or spam the booking page — creating bookings you don't intend to keep, mass-booking slots, or otherwise clogging a host's calendar.
  • Make fake or fraudulent bookings, or book under a false name, email, or LinkedIn identity. The LinkedIn and contact details you provide must be truthful and your own.
  • Scrape, crawl, or harvest availability, slots, or any other data, or point bots and automated tools at the booking page or its APIs.
  • Circumvent booking limits, buffers, availability windows, rate limits, double-booking protection, or any other control the Service enforces.
  • Abuse the chat concierge or AI intake — including prompt injection, attempts to extract system instructions or other people's data, harassment, or driving automated or high-volume traffic through them.
  • Resell, sublicense, white-label, frame, or redistribute the Service except where your plan expressly allows it.
  • Copy, reverse-engineer, decompile, or attempt to derive the source code or underlying models of the Service.
  • Upload or transmit unlawful, infringing, deceptive, harassing, or malicious content in names, notes, questionnaire answers, or chat messages.
  • Probe, scan, overload, or attempt unauthorised access to the Service, its infrastructure, or other users' data.

We may refuse, cancel, or reschedule any booking, and remove any content, at our discretion — especially where we reasonably believe it is abusive, fraudulent, or unsafe.

4. Bookings, no-shows & cancellations

A confirmed booking is a commitment to show up, or to cancel or reschedule with reasonable notice using the links in your confirmation email. Repeated no-shows, last-minute cancellations, or abusive conduct toward a host may result in your bookings being declined or your access being blocked.

Hosts may cancel or reschedule when something genuinely comes up; where a booking can't go ahead, we'll use the contact details you provided to let you know. Meeting times are shown and confirmed in a specific timezone context — please double-check yours before you book.

5. Chat concierge & AI intake

Warden includes a chat concierge widget and, on some plans, an AI intake step that asks tailored questions before a call. These features exist to help you book and prepare — not to serve as a general-purpose AI or a channel for abuse.

AI-generated questions and replies can be imperfect; treat them as assistance, not professional advice, and don't rely on them for anything critical. You must not use these features to attempt prompt injection, to extract system prompts or other people's data, to harass, or to generate automated traffic. Transcripts and answers may be stored and used to prepare for and follow up on your booking, as described in the Privacy Policy.

6. Rate limits & anti-abuse countermeasures

To protect availability and the people behind it, we reserve the right to apply technical countermeasures — including rate limiting, throttling, challenge or verification checks, IP or account blocks, and automated abuse detection — with or without notice. These measures are a normal part of running a public booking page and may occasionally affect legitimate heavy use; if that happens to you, contact us and we'll help.

7. Your data & the licence you give us

You keep ownership of the information you submit — your name, email, LinkedIn, chosen time, notes, questionnaire answers, and any calendar you connect. You grant us the limited licence we need to operate the Service on your behalf: to create and update calendar events, add meeting links, send confirmations, reminders and invites, run intake and routing, and — where you connect it — read your calendar's availability. We use this data as described in the Privacy Policy and for no undisclosed purpose.

8. Intellectual property & your licence

Subject to these terms and your plan, we grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for its intended purpose — scheduling and running meetings. You may not copy, modify, distribute, sell, sublicense, frame, white-label, reverse-engineer, or create derivative works from the Service or its software except where your plan expressly allows it (for example, white-labelling on Enterprise).

If you send us ideas, suggestions, or feedback about the Service, you agree we may use them freely to improve Warden, without obligation or compensation to you.

The Warden name, shield mark, software, and branding are owned by Aashapura, LLC or its licensors and are protected by copyright and trademark law — see the Copyright & Trademarks notice for the ownership details and the third-party marks Warden references.

9. Third-party services

Warden connects to third-party services to do its job — including Google Calendar and Google Meet, Apple/iCloud (CalDAV) calendars, and, on some plans, Slack and Microsoft Teams. Your use of those services is governed by their own terms, and your connected accounts stay under your control. We aren't responsible for outages, changes, or data loss on third-party providers, though we'll do our part to sync reliably.

10. The "Powered by Warden" badge

Free and paid booking pages carry a "Powered by Warden" attribution badge. Except where your plan explicitly includes white-labelling, you agree not to remove, hide, obscure, or alter that badge. It is a permanent condition of using the Service on those plans.

11. Warranties & disclaimers

The Service is provided "as is" and "as available", without warranties of any kind, express or implied, including fitness for a particular purpose, merchantability, and non-infringement. We don't warrant that the Service will be uninterrupted or error-free, or that every calendar sync, email, or meeting link will always arrive — for example when a third-party calendar or mail provider fails.

12. Limitation of liability

To the maximum extent permitted by law, Aashapura, LLC will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost bookings, missed meetings, or lost data arising from your use of — or inability to use — the Service, including failures of third-party calendar, video, or email providers. Where liability cannot be excluded, it is limited to the greater of the amount you paid us for the Service in the three months before the claim, or USD 100.

13. Indemnification

You agree to indemnify and hold harmless Aashapura, LLC from claims, damages, and costs (including reasonable legal fees) arising out of your misuse of the Service, your breach of these Terms, your infringement of someone else's rights, or content you submit through the Service.

14. Suspension & termination

We may suspend or terminate your access, decline or cancel bookings, or remove content at any time if you breach these Terms or use the Service abusively, fraudulently, or in a way that risks harm to others or to the Service. You may stop using the Service at any time; if you have a paid plan, cancellation is covered by the Payment & Refund Policy.

15. Governing law & changes

These Terms are governed by the laws of the State of California, United States, without regard to its conflict-of-laws rules, and — to the extent your local law permits — you agree to the exclusive jurisdiction of the state and federal courts located in California for any dispute. We may update these Terms as the Service changes; when we do, we'll revise the "Last updated" date above and, for material changes, take reasonable steps to let you know. Continuing to use the Service after an update means you accept the revised Terms.
