Payment & Refund Policy

How billing and refunds work across Warden's plans — free to start, flat for teams, and a one-time setup you own.

Last updated: July 24, 2026

In plain terms

Booking a meeting and the Free plan cost nothing. Paid plans start with a real conversation, so there are no surprise charges.

  • Monthly subscriptions are billed in advance at the price shown at checkout; cancel anytime and keep access to the end of the period.
  • The one-time setup fee is done-for-you work — refundable before it starts, pro-rated while under way, not once delivered.
  • Enterprise and custom engagements follow the agreement we sign with you.
  • Talk to us before disputing a charge — a chargeback on a legitimate fee is a breach we can act on.

1. What this policy covers

This policy explains how billing and refunds work across Warden's plans — Free, Solo, Business (a flat monthly fee by usage tier, plus a one-time setup), and Enterprise (custom). The fees for your plan are shown at checkout and on our pricing page. Booking a meeting and using the Free plan cost nothing. Paid plans start with a real conversation rather than instant self-checkout, so there's no surprise charge — you'll know exactly what you're paying for before you pay.

2. Free plan

The Free plan is free. There's nothing to refund, and you can stop using it whenever you like. Your Free booking page keeps the "Powered by Warden" badge.

3. Monthly subscriptions (Solo & Business)

The Solo and Business subscriptions (Business is a flat monthly fee by usage tier, with unlimited seats on every tier) are billed in advance each month through our payment processor, at the then-current price shown at checkout and on our pricing page. You can cancel at any time and keep access until the end of the current billing period. Monthly fees already billed are non-refundable for the current period — but if the Service was materially unavailable for an extended time and we couldn't put it right, contact us and we'll work out a fair credit or pro-rata refund. Any annual arrangement follows the terms quoted when you sign up for it.

4. The one-time setup fee

The Business plan includes a one-time white-glove setup fee, and Enterprise includes a custom-scoped setup; the amount is shown at checkout or set out in your Order Form or statement of work. Because setup is done-for-you work — we wire Warden into your calendar stack, CRM, chat, and domain — refundability of the fee you paid depends on how far the work has progressed: before we begin, it's fully refundable; once work is under way, we refund the portion not yet performed; once the setup is delivered, it's non-refundable.

5. Enterprise & custom plans

Enterprise and any custom-scoped engagement are governed by the order form, quote, or agreement we sign with you. Where that agreement sets different billing or refund terms, those terms control for that engagement.

6. Taxes

Prices are exclusive of taxes unless stated otherwise. Where we're required to collect VAT, GST, sales tax, or similar, it will be added at billing. Taxes already remitted to an authority may not be refundable even where a fee is.

7. Cancelling

You can cancel a paid plan at any time by emailing us, or from your account where that's available. Cancellation stops future renewals; it doesn't retroactively refund a period already billed, except as described above. We don't delete your data the moment you cancel, so you have a window to export it.

8. Chargebacks & fraud

If you dispute a legitimate charge as a chargeback instead of contacting us first, that's a breach of these terms. We may suspend or terminate your access, and we reserve the right to recover amounts properly owed plus reasonable costs, and to contest fraudulent disputes with evidence of the service provided. If you think you were charged in error, email us — we'll almost always sort it out faster than a bank will.

9. How to request a refund

To request a refund or ask a billing question, email us at [email protected] with the account or booking email, the charge date and amount, and a short note on what went wrong. We aim to respond within a few business days.
